Our services may include book formatting services, professional book formatting services, book editing and formatting services, interior book formatting, book page formatting, print book formatting, Kindle formatting, EPUB formatting, fixed layout formatting, fiction book formatting, non-fiction book formatting, memoir book formatting, poetry book formatting, children’s book formatting, business book formatting, Christian book formatting, and other related publishing preparation services.
The exact services provided to each client depend on the package selected, the quote approved, the scope agreed upon, the files submitted, and the project requirements confirmed before work begins.
2. Website Use
You may use our website for lawful purposes only. You agree not to use the website in any way that damages, disables, overloads, disrupts, interferes with, or impairs the website, our systems, our business operations, or another user’s ability to access the website.
You must not attempt to gain unauthorized access to our website, servers, forms, systems, databases, files, accounts, payment tools, or any connected platform. Book Formatting Service reserves the right to refuse service if we reasonably believe that a user is underage, unauthorized, acting fraudulently, violating these Terms and Conditions, or submitting content that creates legal, ethical, operational, or reputational risk.
4. Service Inquiries and Contact Requirements
All service inquiries, project questions, refund requests, revision requests, billing concerns, technical questions, account questions, advertising inquiries, partnership inquiries, and general queries must be submitted through the Contact Us form available on our website.
Submitting the Contact Us form does not automatically create a client relationship, confirm service availability, guarantee a quote, reserve a project slot, or obligate Book Formatting Service to accept a project. Our team will review the inquiry and get in touch using the information provided by the user.
Clients are responsible for ensuring that all information submitted through the Contact Us form is accurate, complete, and current. Book Formatting Service is not responsible for delays, missed updates, project issues, or communication problems caused by incorrect contact information, inactive email addresses, spam filters, incomplete forms, or failure to respond.
5. Quotes, Proposals, And Service Scope
Any quote, estimate, proposal, package description, timeline, or service recommendation provided by Book Formatting Service is based on the information available at the time it is prepared.
A quote may consider factors such as manuscript length, genre, word count, page count, complexity, number of images, number of tables, formatting type, print requirements, eBook requirements, publishing platform, requested deadline, editing needs, file condition, and the level of customization required.
A quote is not final unless confirmed by Book Formatting Service in writing. We may revise a quote if the project details change, if the submitted files are materially different from what was initially described, if additional services are requested, or if the manuscript requires more work than originally disclosed.
The agreed service scope will define what is included in the project. Any work outside the agreed scope may require an additional fee, updated timeline, or separate approval.
6. Client Responsibilities
Clients are responsible for providing all materials needed to complete the project. This may include the final manuscript, images, illustrations, charts, tables, captions, author bio, book title, subtitle, copyright information, dedication, acknowledgments, ISBN details, trim size, publishing platform requirements, cover dimensions, design references, and any other relevant project information.
Clients are responsible for checking that all files submitted are complete, accurate, readable, virus-free, and properly owned or licensed. Clients must not submit stolen content, plagiarized content, copyrighted material they do not have permission to use, unlawful content, malware, corrupted files, or content that infringes the rights of another person or entity.
Clients are responsible for reviewing drafts, previews, proofs, formatted files, and final deliverables carefully. Approval of a draft, proof, or final file means the client accepts the formatting as presented, subject only to corrections that are within the approved project scope.
Book Formatting Service is not responsible for errors that remain in the manuscript because the client submitted an incorrect file, failed to review the formatted version carefully, approved a file with errors, provided incomplete instructions, or changed requirements after work had already begun.
7. Manuscript Ownership and Client Content
Clients retain ownership of their original manuscripts, book content, unpublished work, author materials, personal stories, research, creative ideas, illustrations, images, and other original content submitted to Book Formatting Service, unless otherwise agreed in writing.
By submitting project materials, the client gives Book Formatting Service permission to access, review, format, edit, prepare, convert, revise, store temporarily, and use those materials only as needed to provide the requested services, manage the project, communicate with the client, deliver files, maintain business records, and address service-related matters.
Book Formatting Service does not claim ownership of the client’s manuscript or original creative work. However, any templates, formatting systems, design structures, internal processes, workflow methods, page layout methods, service documents, written guidance, internal notes, project management methods, and proprietary materials created by Book Formatting Service remain the property of Book Formatting Service unless expressly transferred in writing.
8. Confidentiality of Client Materials
Book Formatting Service understands that manuscripts and book files may include unpublished ideas, personal stories, business knowledge, family history, religious reflections, health experiences, financial experiences, research, memoir content, creative characters, plotlines, private correspondence, or other sensitive material.
We treat submitted client materials with professional care and confidentiality. Access to project materials may be limited to team members, contractors, editors, formatters, designers, project managers, technical tools, or service providers who need access to perform the requested services.
Clients agree that Book Formatting Service may use secure or commercially reasonable digital tools, cloud systems, communication tools, file transfer tools, and workflow platforms to manage project files. While reasonable care is taken, no digital transmission or storage method can be guaranteed to be completely secure.
Clients should not submit materials they are not prepared to share for the purpose of completing the project. If a manuscript includes highly sensitive content, the client should notify Book Formatting Service through the Contact Us form before submitting the file so appropriate handling options can be discussed.

Book Formatting Service may add, remove, revise, or discontinue services at any time without prior notice. Service availability may depend on workload, project complexity, staff capacity, file condition, and client requirements.
10. Formatting Limitations
Book formatting improves presentation, readability, layout, and publishing readiness. It does not guarantee book sales, bestseller status, media coverage, publishing acceptance, reader reviews, bookstore placement, literary agent interest, platform ranking, award recognition, or commercial success.
Book Formatting Service may help prepare files according to the client’s selected publishing platform requirements, but each publishing platform controls its own upload rules, review process, file acceptance, printing standards, distribution rules, pricing, metadata requirements, and account policies.
We are not responsible for platform rejections, delays, file changes, print variations, technical requirements, account issues, publishing policy changes, platform outages, third-party review delays, or decisions made by Amazon KDP, IngramSpark, Barnes & Noble Press, Apple Books, Kobo, Draft2Digital, Google Play Books, or any other publishing platform.
If a platform identifies a formatting-related issue that falls within the agreed project scope, the client may submit the concern through the Contact Us form or the dedicated project manager for review.
11. Editing Limitations
If a client purchases book editing and formatting services, the editing scope must be clearly agreed upon before work begins. Editing may include proofreading, copyediting, line editing, developmental editing, or other levels of editorial support, depending on the selected service.
Formatting alone does not include editing unless editing is expressly included in the approved package or proposal. A formatting project does not automatically include grammar correction, fact-checking, rewriting, plagiarism review, citation verification, legal review, medical review, academic review, theological review, or permissions clearance.
If editing is included, Book Formatting Service does not guarantee that a manuscript will become error-free. Editing reduces issues and improves quality, but no editorial process can guarantee perfection.
12. Publishing Advice Disclaimer
Book Formatting Service may provide general guidance about formatting requirements, trim sizes, file types, platform preparation, upload readiness, and common publishing considerations. This guidance is provided for informational purposes only.
We do not provide legal, tax, financial, accounting, copyright, trademark, literary agency, publishing law, investment, medical, academic, or professional licensing advice. Clients should consult qualified professionals for matters involving legal rights, copyright registration, tax treatment, business structure, ISBN ownership, publishing contracts, royalties, permissions, or regulated subject matter. However, we may only assist you in case if it’s added in the proposal or agreed scope of work.
13. Payment Terms
Payment terms will be provided at the invoice stage. Depending on the project, Book Formatting Service may require full payment upfront, a deposit before work begins, milestone payments, installment payments, or another approved payment arrangement.
Work may not begin until the required payment has been received and cleared. Book Formatting Service reserves the right to pause, delay, suspend, or cancel work if payment is not received on time, if payment fails, if a charge is disputed, or if the client does not comply with the agreed payment terms.
All prices are listed in the currency shown at the time of purchase or invoice. Unless otherwise stated, clients are responsible for any applicable taxes, transaction fees, bank fees, currency conversion fees, platform fees, or payment processor charges.
14. Processing Fees
Payments may be subject to processing fees charged by payment processors, merchant accounts, banks, card networks, or financial platforms. These fees may apply when payments are made, refunded, reversed, disputed, partially refunded, or otherwise processed.
Where a refund is approved, any necessary processing fee may be deducted from the refund amount, even if the refund is otherwise considered a complete refund. This applies because payment processing costs may not be recoverable by Book Formatting Service.
15. Project Start and Initiation
A project may be considered initiated once any of the following occurs:
The client approves the quote or package.
The client makes the required payment or deposit.
The client submits the manuscript or project files.
Book Formatting Service begins reviewing the manuscript.
Book Formatting Service assigns the project internally.
Formatting, editing, layout, file preparation, consultation, or project planning begins.
A project timeline is created or confirmed.
Any work is performed by our team or contractors.
Once a project has been initiated, refund eligibility may be reduced based on the amount of work completed, resources assigned, time spent, and costs already incurred.
16. Refund Policy
Book Formatting Service aims to provide professional, careful, and reliable services. However, we understand that there may be situations where a client requests a refund. All refund requests must be submitted through the Contact Us form available on our website or through the dedicated project manager. Our team will review the request and get in touch.
Refunds are not automatic. Refund approval depends on the reason for the request, the status of the project, the amount of work completed, the terms of the approved service, the quality concerns raised, and management review.
17. Complete Refunds
A complete refund may be considered only if the client is dissatisfied with the service delivery and Book Formatting Service determines, after review, that the delivered service did not meet the agreed scope or reasonable service expectations.
Even where a complete refund is approved, necessary processing fees, payment processor charges, transaction costs, bank fees, or other non-recoverable fees may be deducted from the refund amount.
A complete refund will not be issued simply because the client changed their mind, decided not to publish, selected another provider, no longer wants the service, changed the book concept, delayed the project, lost interest, changed personal plans, disagreed with publishing platform rules, or no longer needs the deliverables.
18. Mid-Project Discontinuation
If a project has been initiated and the client chooses to discontinue the services in the middle of the project, any refund will be calculated based on the work already completed, time spent, resources assigned, and costs incurred.
For example, if 50% of the project work has been completed, only up to 50% of the eligible project fee may be considered for refund, minus necessary processing fees or non-recoverable charges.
If more than 50% of the work has been completed, the refundable amount may be lower. If the project is substantially complete or final files have been delivered, no refund may be available except where Book Formatting Service determines that a valid service delivery issue exists within the agreed scope.
19. Partial Refunds
Partial refunds may be considered when a client cancels a project after work has begun but before completion. The partial refund amount will be determined by Book Formatting Service based on the percentage of work completed, team hours used, project planning completed, formatting or editing performed, revisions completed, administrative effort, and any fees already incurred.
Partial refunds are not calculated solely by calendar time. They are based on project progress, work performed, and resources used.
All approved partial refunds are subject to deduction of necessary processing fees.
20. Non-Refundable Items
The following may be non-refundable, unless Book Formatting Service determines otherwise:
Payment processing fees.
Rush fees.
Consultation fees.
Administrative fees.
Completed formatting work.
Completed editing work.
Completed file conversion work.
Completed revisions.
Custom layout design work already performed.
Work already reviewed or approved by the client.
Third-party costs.
Platform fees.
Fees paid to contractors or specialists assigned to the project.
Work delayed because of client inaction, incomplete files, or changing instructions.
Book Formatting Service may classify additional items as non-refundable where reasonable based on the project scope and work already performed.
21. Refund Review Process
To request a refund, the client must submit the Contact Us form and provide the project name, client name, email address used for the order, reason for the refund request, and any relevant details or contact us through the given email at the time of project onboarding.
Book Formatting Service may request additional information, including the specific issue, files received, revision history, communication history, screenshots, platform rejection notices, or other proof needed to evaluate the request.
Submitting a refund request does not pause outstanding payment obligations unless Book Formatting Service confirms otherwise in writing. Refund decisions are made after review. Approved refunds will be processed through the original payment method where possible, unless another method is approved by Book Formatting Service.
Refund processing times may depend on the payment processor, bank, card issuer, or financial institution.
22. Chargebacks and Payment Disputes
Clients are encouraged to contact Book Formatting Service through the Contact Us form before filing a chargeback or payment dispute. Many service concerns can be reviewed and resolved through revision, correction, clarification, partial refund, or management review.
If a client files a chargeback without first attempting to resolve the matter, Book Formatting Service reserves the right to pause all work, suspend file delivery, revoke access to incomplete deliverables, stop communication outside the dispute process, and provide documentation to the payment processor.
Chargebacks involving completed work, approved files, delivered files, or service misuse may be contested with project records, communications, invoices, file delivery proof, revision history, and other relevant documentation.
23. Revisions
Revision terms depend on the package or project scope approved by the client. Revisions are intended to correct formatting issues, refine layout details, adjust agreed design choices, or address reasonable concerns within the original scope.
Revisions do not include a new manuscript, a new book structure, a new trim size after formatting has begun, a different publishing platform after file preparation, substantial rewriting, new editing scope, new images, new chapters, major content additions, a complete redesign, or changes caused by client-provided errors unless agreed separately.
If the client requests changes outside the approved scope, additional fees and timeline adjustments may apply.
24. Client Review and Approval
Clients are responsible for reviewing all drafts, proofs, formatted files, eBook previews, print-ready files, and final deliverables before publication or upload.
Book Formatting Service may provide files for review before final delivery. The client must carefully check spelling, grammar, page order, chapter order, image placement, captions, front matter, back matter, table of contents, author name, title, subtitle, ISBN, copyright page, acknowledgments, and other book details.
Once the client approves a file, Book Formatting Service is not responsible for errors later discovered unless the issue was caused by our formatting work and falls within the agreed revision scope.
25. Timelines and Delays
Project timelines are estimates unless expressly stated as guaranteed in writing. Timelines may depend on manuscript length, file quality, project complexity, client response time, revision volume, payment status, technical requirements, platform requirements, and team availability.
Book Formatting Service is not responsible for delays caused by incomplete files, late responses, unclear instructions, changed requirements, missed payments, third-party platforms, publishing platform issues, payment processor issues, technical problems, force majeure events, or client-side delays.
If a client does not respond within a reasonable time, Book Formatting Service may pause the project. Extended inactivity may result in project closure, additional restart fees, updated timelines, or loss of priority placement.
26. Rush Projects
Rush service may be available for certain projects at an additional cost. Rush availability is not guaranteed and depends on workload, complexity, manuscript readiness, and team capacity.
Rush fees may be non-refundable once the rush project has been accepted and work has begun. If client delays prevent the rush timeline from being met, Book Formatting Service is not responsible for the missed timeline.
27. File Delivery
Final files may be delivered by email, download link, cloud folder, client portal, file transfer system, or another approved method.
Clients are responsible for downloading, saving, backing up, and safely storing final files after delivery. Book Formatting Service may retain files for a reasonable period for support, recordkeeping, and revision purposes, but we do not guarantee indefinite storage or future file availability.
Clients should maintain their own copies of source files, final files, manuscript versions, images, illustrations, and publishing assets.
28. File Compatibility
Book Formatting Service may deliver files in formats such as PDF, EPUB, MOBI, DOCX, KPF, INDD, JPG, PNG, or other agreed formats, depending on the service purchased.
Compatibility may vary depending on the client’s device, software, publishing platform, operating system, browser, or third-party application. Book Formatting Service is not responsible for issues caused by outdated software, incompatible devices, platform updates, user upload errors, account restrictions, or third-party system limitations.
29. Platform Requirements
Publishing platforms may update their file specifications, review rules, printing standards, eBook requirements, and upload processes at any time. Book Formatting Service will make reasonable efforts to prepare files according to the requirements known at the time of service.
We do not control third-party publishing platforms and cannot guarantee approval, listing, distribution, printing quality, sales performance, metadata acceptance, pricing approval, category placement, or publishing account status.
If a platform rejects a file for a formatting issue within our agreed scope, the client may submit the issue through the Contact Us form for review.
30. Client Content Standards
Clients must not submit content that is unlawful, defamatory, harassing, threatening, abusive, exploitative, obscene, fraudulent, infringing, plagiarized, or otherwise harmful.
Clients must not submit content that violates copyright, trademark, privacy, publicity, contract, confidentiality, publishing, or intellectual property rights.
Clients are solely responsible for the legality, accuracy, originality, permissions, citations, quotations, images, illustrations, charts, data, names, likenesses, testimonials, claims, and references included in their manuscripts.
Book Formatting Service may refuse, pause, or cancel a project if the submitted content creates legal, ethical, operational, reputational, or safety concerns.
31. Copyright and Permissions
Clients are responsible for ensuring that they own or have permission to use all content submitted to Book Formatting Service. This includes text, images, illustrations, maps, charts, tables, poems, song lyrics, quotes, photographs, cover art, trademarks, logos, screenshots, excerpts, forewords, endorsements, and third-party materials.
Book Formatting Service does not verify copyright ownership unless specifically agreed in writing. We do not provide copyright clearance, permissions review, trademark clearance, fair use analysis, or legal review.
If a third party claims that a client’s content infringes their rights, the client is responsible for addressing the claim and holding Book Formatting Service harmless to the fullest extent permitted by law.
32. Third-Party Tools and Providers
Book Formatting Service may use third-party tools and providers for file storage, project management, communication, payment processing, email delivery, analytics, advertising, design, editing, formatting, file conversion, proofreading, and business operations.
We are not responsible for interruptions, outages, errors, data loss, delays, policy changes, pricing changes, or failures caused by third-party tools or providers.
Clients may also be required to use third-party publishing platforms or payment platforms. Such platforms operate under their own rules, terms, fees, and technical requirements.
33. Artificial Intelligence and Automation
Book Formatting Service may use software tools, automation, formatting programs, editing tools, quality control tools, or other digital systems to support workflow, file review, project management, or service delivery.
We do not use client manuscripts to train public artificial intelligence models unless expressly authorized by the client. Any technology used is intended to support service quality, efficiency, review, formatting, or communication.
Clients remain responsible for reviewing final deliverables and confirming that the final files meet their expectations before publication.
34. Testimonials, Reviews, And Portfolio Materials
Book Formatting Service may display testimonials, reviews, client feedback, ratings, project comments, sample pages, formatted interiors, before-and-after examples, or portfolio materials where permitted.
Testimonials must reflect the honest experience of the person providing them. We may edit testimonials for spelling, grammar, length, clarity, or formatting, provided the meaning is not materially changed.
We will not knowingly publish confidential manuscript content, unpublished client materials, or private project files as portfolio samples without permission. If a client wants a testimonial or sample removed, the client must submit the request through the Contact Us form.
35. Service Guarantees
Book Formatting Service may offer certain guarantees, such as formatting correction support, satisfaction review, revision support, or quality assurance, depending on the package or service scope.
Any guarantee applies only to the specific service purchased and only within the agreed project scope. A guarantee does not mean unlimited free work, unlimited redesigns, publishing success, platform approval in every circumstance, sales performance, or refund eligibility for change of heart.
If a client believes a guarantee applies, the client must submit the concern through the Contact Us form and provide relevant project details.
36. Errors, Omissions, And Corrections
We aim to provide accurate information on our website, but we do not guarantee that all website content, service descriptions, pricing details, examples, timelines, or availability statements will always be complete, current, or error-free.
Book Formatting Service reserves the right to correct errors, update content, revise service descriptions, change pricing, adjust packages, or modify availability at any time without prior notice.
If an error affects a client’s active project, we will make reasonable efforts to communicate the correction and provide an appropriate path forward.
37. Promotions and Special Offers
Book Formatting Service may offer promotions, discounts, bundles, limited-time offers, lead offers, or advertising-based incentives.
Promotions may be modified, paused, extended, or discontinued at any time. Promotional offers cannot be combined unless expressly stated. Promotions have no cash value and may not apply to previous purchases, active projects, custom quotes, rush projects, or add-on services unless approved by Book Formatting Service.
38. Communication
Book Formatting Service may communicate with clients by email, phone, WhatsApp, SMS, contact form response, client portal, file transfer platform, or other reasonable methods.
Clients agree to provide accurate contact information and monitor their communication channels during the project. Book Formatting Service is not responsible for missed deadlines, delayed revisions, project pauses, or service interruptions caused by client failure to respond.
All official queries, complaints, refund requests, and support requests must be submitted through the Contact Us form.
39. Intellectual Property of Book Formatting Service
All website content, service descriptions, brand elements, page layouts, visual designs, graphics, logos, icons, copy, workflows, forms, templates, internal documents, service processes, pricing structures, and original materials created by Book Formatting Service are protected by intellectual property laws.
Users may not copy, reproduce, republish, sell, exploit, distribute, modify, or create derivative works from our website content or business materials without written permission.
Purchasing a service does not give the client ownership of Book Formatting Service’s internal processes, templates, design systems, tools, methods, or proprietary materials.
40. Prohibited Uses
Users and clients may not use our website, services, deliverables, communication channels, or systems to:
Violate any law or regulation.
Infringe intellectual property rights.
Submit stolen, plagiarized, or unauthorized content.
Transmit malware or harmful files.
Harass, threaten, abuse, or defame others.
Commit fraud or misrepresentation.
Avoid payment obligations.
File false chargebacks.
Interfere with our website or business operations.
Copy our content or business model unlawfully.
Use our deliverables for illegal, deceptive, or harmful purposes.
Book Formatting Service may refuse, suspend, or terminate service for prohibited use.
41. Right to Refuse Service
Book Formatting Service reserves the right to refuse service, cancel a project, discontinue communication, or decline a request at our discretion where reasonable.
Reasons may include unlawful content, abusive behavior, nonpayment, unreasonable demands, scope disputes, suspected fraud, rights concerns, technical infeasibility, offensive conduct toward staff, repeated policy violations, reputational risk, or content that we determine is inappropriate for our business to handle.
If service is refused after payment has been made, refund eligibility will depend on the work completed, reason for refusal, and applicable refund terms.
42. Termination of Services
Book Formatting Service may terminate a project or service relationship if the client breaches these Terms and Conditions, fails to pay, submits unlawful materials, provides false information, behaves abusively, repeatedly changes the scope, refuses to cooperate, files an improper chargeback, or creates unreasonable operational risk.
Clients may request to discontinue services through the Contact Us form. Refund eligibility for discontinued projects will be handled according to the refund policy described above.
Termination does not cancel payment obligations for work already completed, non-refundable fees, or amounts owed.
43. Inactive Projects
A project may be considered inactive if the client does not respond to requests, fails to submit required materials, delays feedback, does not approve files, or does not provide necessary information within a reasonable time.
Book Formatting Service may pause inactive projects. If inactivity continues, the project may be closed. Reopening a closed project may require a restart fee, updated quote, revised timeline, or new service agreement.
44. Limitation of Liability
To the fullest extent permitted by law, Book Formatting Service will not be liable for indirect, incidental, special, consequential, punitive, or exemplary damages, including lost profits, lost revenue, lost sales, lost opportunities, lost data, reputational harm, publishing delays, platform rejection, printing issues, reader complaints, marketing failure, or business interruption.
Our total liability for any claim related to a project or service will not exceed the amount paid by the client to Book Formatting Service for the specific service giving rise to the claim.
Some states do not allow certain limitations of liability, so some limitations may not apply to all users. In such cases, liability will be limited to the maximum extent permitted by applicable law.
